Coworking operator THE WORKS, formerly Stayaround, has used Parakey since 2017 to enable really smooth and flexible rental. Now they have made it even smoother by integrating their business system Nexudus against Parakey.

THE WORKS has seven coworking facilities around Stockholm where they, as they describe it, "create attractive workplaces out of boring vacancies". To manage its members, THE WORKS uses the Nexudus business system, which is tailor-made for coworking.

We have met Peter Zachrisson, IT & Process Manager at THE WORKS, who has connected Parakey and Nexudus for access management completely on autopilot. He did this through the integration hub Zapier, which makes it possible to connect over 5000 services in the cloud, without having to write code.

"When a new contract is created - it could be a membership or someone renting an office space - a call is made via Zapier asking Parakey to automatically send out a key when the contract starts," says Peter.

So if a company decides to expand with a new member, their email address is entered into Nexudus and a key is automatically sent from Parakey to the member's email address on the agreed start date.

"We never really need to know that a new member has been added," Peter continues. "We trust the companies that are here, so they can add new members themselves and get Parakey without us even knowing."

THE WORKS began by identifying what they wanted the automated flow to look like by asking themselves questions such as "When should new members be given access?" and "With what kind of mobile key?"

After that, Peter quickly learned how to build the different stages of integration in Zapier.

"It turned out very well and I wouldn't say it took long to set up the connection. As long as you have some idea of how Zapier, Nexudus and Parakey work, it is very smooth", says Peter and continues:

"There are very few fields we have to work with. It's simply an email address, a start date, filters to indicate which facility the tenant should have access to and what type of key they should get - so in essence it's very simple. There are a few steps in Zapier that take care of the whole integration. So it was very easy to set up."
